Legal Secretary

Objective

To provide high quality legal advice, assistance and advocacy for clients of the firm and
contribute to maintaining high standards of client care. To qualify as a solicitor.

Responsible to

  • The Partners

Key Tasks

  • Triaging calls from clients
  • Ensuring leads are assigned and followed up.
  • Ensuring client calls are transferred or returned.
  • Liaising with staff in all offices
  • Monitoring Oxford lead generation enquiries
  • Calling clients in court the following week to inform them of case information
  • Checking Oxford private cases to ensure sufficient funds on account on the client files per month
  • PA to Partner Suezanne King – assisting with organising enquiries, sending out payment links, and marketing campaign support
  • Monitoring Google reviews and updating the partners monthly
  • Sending out engagement letters on the Partner’s cases
  • Ensuring Kidlington office is kept tidy, stationery well stocked
  • Check post daily
  • Checking Summertown office is monitored
  • In charge of out of hours phone rotas for Oxford team
  • In charge or organising an article writing rota for all  Fee earners
  • Ensuring file management is in accordance with Quality Procedures Manual, LAA Contract, CQS and Lexcel requirements.
  • Reception duties
  • Liaising with clients in person and by telephone in a professional and friendly manner in keeping with the firm’s standards for client care
  • Liaising with others by telephone
  • Arranging mail despatch by post, hand or Document Exchange
  • Preparation of correspondence and documents through audio typing and word processing
  • Maintaining up to date time records as appropriate.
  • Maintaining diaries and making appointments when required.
  • Photocopying as required.
  • Ensure the confidentiality of all the firm’s and clients’ documentation and information
  • Consumables ordering
  • Daily filing including file opening, closing, storage and retrieval of client files
  • Contributing to maintaining a safe and healthy working environment.
  • Contributing to maintaining and improving office procedures.
  • Ensuring compliance with Equality and Diversity Policy.
  • Any other duties which from time to time are required by the firm.

  • Confident on the phone
  • Organised
  • Good Microsoft skills and quick to pick up new software
  • Experience of working in a legal practice

  • Ability to deal with potentially difficult and demanding clients

  • Able to work under pressure with minimal supervision
  • Computer literate
  • Self-motivated

Desirable Skills & Experience

  • Previous experience in a legal office

Salary

£25,000 – £30,000 depending on experience
